Whether we’re managing work deadlines, helping with homework, or coordinating activities, finding time for ourselves may seem like an impossible task. The feeling that there's always more to do than hours in the day can lead to stress and overwhelm, making it hard to stay focused and productive. That's where time blocking comes in—a powerful tool that can help you regain control of your schedule, increase your efficiency, and make sure you're allocating time for the things that matter most.

Once you’ve identified your priorities, create a list of tasks for the day. Write everything down—from getting the kids ready for school to checking emails or preparing dinner. It’s helpful to create a weekly plan during the weekend so that you know what to expect each day. That way, you’re starting with a game plan rather than figuring things out on the fly. In my house, we have our family meeting on Saturdays, to go over schedules, divide up mom and dad “taxi duty,” and create our dinner meal plan for the week (so I can grocery shop on Sunday morning!).

3. Determine Time Blocks

Now it’s time to assign blocks of time to each task or group of tasks. A common approach is to divide your day into 1- to 2-hour chunks, but the length of time can vary depending on the nature of the activity. For instance, if you need to focus on deep work, such as writing or strategizing, a longer block may be necessary. Conversely, shorter tasks like replying to emails may require only 30 minutes.

Example (for a work-at-home mom):

  • 6:00 AM – 7:30 AM: Morning routine (self-care, breakfast, getting kids ready)

  • 8:00 AM – 9:00 AM: Household chores

  • 9:00 AM – 11:00 AM: Focused work time

  • 12:00 PM – 1:00 PM: Lunch break & personal time

  • 1:00 PM – 3:00 PM: Focused work time

  • 3:00 PM – 4:00 PM: Mom’s Taxi Service (after school transportation)

  • 5:00 PM – 5:30 PM: Personal time (transition from work to home)

  • 5:30 PM – 7:00 PM: Dinner prep & evening routine

  • 7:00 PM – 8:30 PM: Family time

(Notice that there is some time not accounted for here…a little breathing room between time blocks is a good thing!)

4. Use a Calendar or Planner

There are a variety of tools you can use to create your time blocks. Digital calendars like Google Calendar or apps like Trello are perfect for visualizing your schedule and setting reminders. Alternatively, you can use a paper planner to map out your day.

Try color-coding different activities (e.g., blue for work, yellow for family) so you can quickly see where your time is going. Seeing your tasks visually laid out in a structured way is key to staying organized and sticking to your schedule.

5. Set Boundaries

This step is crucial—once you’ve assigned time to a specific task, stick to it. That means setting boundaries with your family, coworkers, and yourself to honor the blocked time. Avoid distractions like checking your phone or trying to multitask. By respecting these boundaries, you’re ensuring that each task gets the focus it deserves. If I need to focus on deep work time, for example, I make sure to put it on my work calendar so team members don’t schedule meetings over it (sometimes they try…but this is where honoring my own boundaries comes in, so I always decline!).

6. Be Flexible

Life with kids is unpredictable, and sometimes things won’t go according to plan. A sick child, an unexpected work crisis, or a family emergency can easily throw off your schedule. The key to time blocking success is flexibility. If something unexpected happens, adjust your blocks and move things around as needed. Just be sure to reschedule important tasks so nothing falls through the cracks.

7. Evaluate & Adjust

At the end of each day or week, take a moment to evaluate your time-blocking system. Did you accomplish what you set out to do? Were the time blocks realistic? Were there areas where you felt rushed or had too much idle time? Continuously tweaking your system will help you fine-tune your time management skills and maximize your efficiency.
